- You shall report to the Asst. Manager / Manager, VPU or his designated personnel for all duties assigned to you;
- You shall provide professional administrative and support to the department and ensure information is up to date and accurate;
- You shall check, receive, and submit to the respective person in charge all passport, Student Pass and /or any document received at the VPU Counter. This includes but not limited to checking and receiving of the following document applications:
- New Student Pass application and application fee
- Endorsement of Student Pass
- Renewal of Student Pass application and hardcopy document submission
- Cancellation and Shortening of Student Pass
- Transfer of Student Pass (sticker)
- Special Pass Application
- Dependent Pass Application
- Overstay Cases
- You will have to scan the documents and upload in to IIS and update necessary information in IIS or any new information system.
- To ensure that you follow the International Office SOP timeline for preparation of documents received and for submission.
- You shall assist to notify the students once the passport and i-kad is ready.
- You shall master the visa processing matter and able to give accurate advice to international students whenever needed.
- You shall ensure inquirers are well assisted and welcomed and ensure all enquiries are channel to appropriate venue/person.
- You will have to achieve and maintain above satisfactory rating for the counter services rating system.
- You shall record all verbal and written correspondence with students on IIS or any new informative system;
- You shall be liable for any lost or damage of office entitles (example; passport, keys or safe) under your care;
- To provide feedback and report on matters related to student experience and provide suggestions for improvement purpose.
- To prepare reports within the time given by the supervisor.
- To work flexibly as part of a team and participate fully in the development of the Unit
- You are required to work and on standby (after working hours and weekend) as and when it is necessary and required by your superior.
- To perform all other duties that may be assigned to you by your supervisor from time to time.
